Participation and Inclusivity:

☐* Workshop Series: Organize regular workshops for beginner-level skills in different clubs and creative activities, i.e. Culinary, and Comedy.

Informal Events: Conduct informal events like BYOBs, Jamming Sessions, and DJ nights/proms at hostel and institute level for a fun introduction to the clubs.

PG Participation: Publicise nominated positions in BRCA and Rendezvous to active PG students in club activities. Recruit PG students to help/participate in Inter-IIT.

Rendezvous:

Financial Supervision: Hire an external finance and auditing team to keep a check on sponsorship inflows and streamline budget allocation within verticals.

Marketing Deliverables: Upload all marketing deliverables in a single place accessible to the entire team. Integrate the digital deliverables on the RDV website.

Phase 1-2 Collaboration: Assign RDV phase 2 coordinators to particular club/main/board events and marketing verticals instead of venues to maximise synergy and accountability.

Nation-wide prelims: Organize prelims across different cities for flagship RDV events like World Group Dance, Blitzkrieg, and Rap Battle.

Hospitality: Explore collaborations with Hotel chains and rental platforms to accommodate artists, judges, and outstation participants.

Inter-IIT:

Regular Practises: Identify the preliminary contingent for Inter-IIT at the start of the year and host regular intensive workshops by expert instructors. Ensure the majority contingent stays on campus for offline practises in the lead-up to Inter-IIT.

Talent Curation: Scout and nurture new talent for often-neglected cups like Culinary Arts and Comedy by hosting competitions in the first semester, along with workshops.

External Participation: Create a publicly accessible calendar for all external competitions. Incentivise participation by lauding performances on the BRCA page and rewarding the top performers annually

BRCA Clubs:

Budget Allocation: Separately allocate money from the BRCA pool to individual clubs to minimise unnecessary spending and ensure a proper record of funds utilisation.

Upskilling: Organize online workshops and team-bonding activities during summer break for incoming representatives to improve skills and coordination during the tenure.

Miscellaneous:

BRCA Website: Create an archive for all performances and entries submitted by IIT Delhi students in various BRCA competitions and externals. Create a publicly accessible calendar for all BRCA activities.

Space Utilization: Utilize the abandoned and less utilised space in SAC, i.e., the Billiards room and barbershop, for BRCA activities and as green rooms.

☐** Vendor and inventory listing: Create a centralised list for all BRCA and BHM vendors and BRCA inventory for easy access to club and cultural secretaries.

Cultural Celebrations: Organize various cultural activities during different festivals throughout the year, boosting community participation.

* a lot of workshops have been conducted, but none for culinary and comedy, as written in the SOP

** somewhat differently implemented. The list is maintained and shared when requested, but it is not public

Functioning and Organizational Improvements:

Integrate Cultural Secretaries into the timeline process to ensure their opinions are consistently voiced and incorporated into planning to avoid scheduling conflicts.

Establish a diverse contention panel by including representation from each cultural

subgroup leading to efficient vetoing mechanisms and better division of decision-making.

Enhance contention meet efficiency by making representatives the first point of contact

and hold monthly contention meetings, with incentives for active participation.

Incentivise activity by maintaining a quarterly report of the meetings, externals, initiatives taken by Institute Societies to make them more active and to a better use of resources.

Organize workshops at the club level with external professionals to enhance skills and

foster growth and specialization, and build culture of the club beyond the campus walls.

Repurpose the billiards room for use by BRCA clubs to maximize available space.

Collaborate with the Student Affairs Council to establish a night mess near the SAC

(Student Activity Center) to cater to late-night student needs, for odd hours of practice.

Incorporate traditional festivals like Lohri, Navratri etc. within BRCA and allocate Cultural Secretaries to promote inclusion of underrepresented communities at the board level.

Inter IIT

Schedule competitions in the weak areas at past Inter-IIT competitions before the official Inter-IIT event, aligning them with the BRCA timeline to ensure better preparation.

Hire external coaches for the Inter-IIT contingent teams to ensure high-quality preparation and training, and a higher level of accountability towards performance.

Emphasize neglected areas such as comedy and culinary arts in the lead-up to Inter-IIT by organizing competitions in these fields, in an effort to scout and nurture talent.

Conduct briefings with previous contingent members to provide detailed information about things like contentions, to improve knowledge and avoid any negatives.

Cross-club interaction to inculcate the collective feeling of the Inter-IIT contingent.

Rendezvous

Enhance the marketing and publicity teams through professional training, improving deals and footfall to ensure deliverables are optimized and are followed through.

Incorporate sponsorships into BRCA events by leveraging a marketing vertical working year round, for a consistent inflow of funds, thus leading to stronger corporate relations.

Boost event visibility and outreach by inviting celebrities and influencers as judges, as well as work on the influencer campaign to maximise reach and engagement.

Expand the festival’s impact by introducing inter-city prelims, by introducing a dedicated management vertical for seamless execution and coordination of the same.

Adjust registration fees for events based on current market value to maximize profits.

Modernise digital infrastructure by transitioning from the website to a web-app, integrating marketing deliverables directly into the app and ensuring fulfillment of these deliverables before entry, also leading to a smoother, consolidated registration process.

Optimize budget allocation and outsource some of the decorations, ensuring cost efficiency while maintaining a vibrant, carnival-like fest experience on ground.

PG Involvement

Organising a version of Tour of Stalls curated for the PG population, held in/near their hostels to loop PG representatives into both BRCA and the larger student populace.

Presenting an edition of BRCA night for PG in parallel to the UG BRCA night in the Sapta/Drona open air theater to showcase the offerings in a consolidated fashion.

Engage PG students, particularly MBA as advisors and coordinators in RDV verticals, leveraging their insight and past experience, while growing their involvement in BRCA.
